Streamlining Referral Management

The client faced operational inefficiencies in managing tobacco cessation referrals, which relied heavily on manual processes like fax and paper forms. This lack of integration made it difficult to serve patients quickly and accurately. Partnering with Vorro, they implemented the BridgeGate Integration Platform to digitize and automate data exchange between hospitals, clinics, and EMRs. By centralizing and standardizing referral intake through secure mailboxes, custom web forms, and ADT JSON data formats.

About the Client

The American Lung Association is a non-profit organization in the United States that works to promote lung health and prevent lung disease through advocacy, research, and education. It provides resources and support for people affected by lung disease, conducts research to find treatments and cures, advocates for policies that promote clean air and lung health, and offers educational programs to help people learn how to keep their lungs healthy.
The organization has been in operation for over 115 years and has a strong reputation for its work in lung health.

The Challenge

The American Lung Association of the Upper Midwest is dedicated to improving lung health and preventing lung disease. One of their key initiatives is the Illinois Tobacco Quitline, which is a free resource for tobacco users who want to quit for good.
However, the organization faced challenges due to manual data entry processes, including referrals via fax and paper forms, which hindered their ability to provide the best possible services to tobacco users. The lack of an integration tool made it difficult to manage and streamline the referral process efficiently.

The Solution

The American Lung Association partnered with Vorro, to implement a healthcare integration platform that collated ADT data from hospitals, FQHCs, and physicians. The goal was to eliminate manual processes and create efficiencies through data integration solutions.
We digitized the entirety of the incoming data process from various stake holders. This involved setting up a secure mailbox, custom web forms for patients/referring clinics, and a direct integration with EMRs -there by digitizing all referrals via ADT, JSON, and multiple data formats.
Our easy and efficient implementation processes proved to be effective in solving the client’s problems.

The Results

With a streamlined process in place, data connectivity can be established quickly. Therefore, when a client is implemented, a data analysis step occurs immediately for the lookup to be built from actual data points instead of having to rely on, oftentimes, out-ofdate documentation. As facilities add new service areas to their healthcare integration platforms that might be qualified, the messages associated with these service areas create exceptions as they are not accounted for in the lookup system. BridgeGate™ has developed a monitoring and exception-handling process to report and reprocess these messages based on the changes happening in real time
